From bale to sales floor: organize used clothing for resale

A photographed shirt can still disappear between boxes. Keep its source lot, unfinished work and current location together in a simple record.

You have photographed a blue shirt, and a customer asks about it. Now you need to find it. Is it still with the latest lot, in the photo box or on the rail? When organizing used clothing for resale, aim to answer three questions about each piece: where did it come from, what does it still need, and where is it now?

Keep the lot reference from the start

Give each incoming lot a short reference and save it with the date, supplier and purchase record. You can use your own code, such as 26C, without depending on the supplier to use the same system. If the purchase includes several bundles, note which one you are working through.

Before mixing garments from two purchases, record which lot each piece came from. That lets you return to the original information when a question comes up. The lot reference groups the purchase; you can then add individual codes to pieces you will sell separately.

Sort by the work still needed

A stack of T-shirts tells you what you have, but not what happens next. Within each category, use three work statuses. These organize tasks; they are not quality grades:

  • Ready: you have finished the tasks you set for offering that garment, such as measurements, a description and photographs.
  • Preparation needed: you know what remains. Write a specific action, such as “measure waist” or “photograph the back.”
  • Decision pending: you have not yet decided whether the piece fits your selling range, or you need to verify a detail before describing it.

Give the piece you will sell its own code

If you sell individual garments that are not interchangeable, identify each one. Two blue shirts with the same marked size may have different measurements or details. Your own code connects the piece to its photos and record without relying on a description such as “blue shirt.”

Platforms commonly call these internal inventory codes SKUs. Shopify recommends simple, consistent codes that distinguish each product or variant. For this resale example, 26C-017 can identify one garment from lot 26C.

Put the code on a tag associated with the garment and in its record. Save the reference to its photos or listing, too. If someone else prepares the listings, both of you should be able to identify the same piece.

Record the location in a separate field

Imagine that shirt 26C-017 is in the PHOTOS box and still needs measurements. After measuring and photographing it, you move it to rail A. Change the location to “rail A” and the work status to “ready”; keep the code 26C-017. This fictional example shows how to follow a garment as it moves.

A notebook or spreadsheet can hold the record. Start with the fields you will actually use:

  • Item code and source lot reference.
  • A brief distinguishing description, such as blue short-sleeve shirt with a pocket.
  • Marked size and a reference to measurements, where relevant.
  • Work status and next action.
  • Current location.
  • Listing or photo reference, plus selling status: unlisted, listed or sold.

Complete the record when you list or sell

A ready garment might still be unlisted. Keep preparation work separate from selling status for that reason. When you list it, save the listing reference; when you move it, update the location. When it sells, record the sale and retain the entry so you can identify the piece later.

Before preparing more stock, check a few entries on your list. Find an item by its code and confirm that the location and photos match. Look at anything that has stayed in “decision pending,” too. If nobody knows the next step, add a specific task and the person who will resolve it.

Plan the next lot with unfinished work in view

Your record also shows how much you have received, how much is ready and how much remains unfinished. Look at those counts before arranging another purchase. A table full of garments waiting for photos already represents work you need to complete.
